Step 1 gave you your WHY. That’s the foundation.
However, a powerful WHY without control of your calendar is still just expensive motivation.
I lived it for 25 years in our family manufacturing business. I had big dreams and a clear purpose, yet my days were hijacked by impromptu meetings, “got a minute?” interruptions, endless email rabbit holes, and context switching that left me exhausted by 3 p.m. The business owned my calendar — not the other way around.
That changes with Step 2.
The Brutal Time Leak Audit (20 Minutes)
Block time right now and list every recurring time thief from last week. Be brutally honest.
Common leaks I see (and lived):
- Impromptu meetings (“show me what’s going on” or “got a minute?”)
- Endless YouTube/Internet research rabbit holes
- Constant context switching between random tasks
- Emails and notifications pulling you off focus
Score each one: How many hours per week is this stealing from your Big Moves?
When I ran this audit, I discovered 18+ hours a week were completely reactive. Game over.
Eat the Frog First
Here’s the non-negotiable rule that changed everything: Tackle your hardest, most important task (the “frog”) first thing in the morning — before the day gets out of hand.
This should be one of your 6 essentials or a true Big Move (like new marketing strategy or product launch planning).
Block a solid 2-hour focus window every single day. No meetings. No notifications. Just deep work on the thing that actually moves the needle.
Open Office Hours – Stop the Drop-Ins
Hold 15–30 minutes of open office hours each day — but scatter them through the week.
Bigger discussions? Schedule their own dedicated slot. No more random “got a minute?” interruptions derailing your flow.
This single change alone reclaimed hours for me and every client who implements it.
Daily Rituals to Own Your Calendar
Make these two rituals automatic:
- Morning Calendar Review – First thing, look at your day. Anything pushed from yesterday? Tackle it in your first focus block.
- End-of-Day Shutdown – Close all loops, prep tomorrow’s top 3 tasks, and shut everything down.
In short, these rituals turn your calendar from a chaotic mess into a weapon that protects your time and your WHY.
